Overview
Working with
Harmony Youth Collective (HYC), I largely supported the Artistic and Executive directors in rebranding and reviving the programs. The company had been greatly affected by COVID-19, as the choirs were unable to rehearse or perform, returning to in-person allowed us to completely restructure.
With the program running since 1976, there were lots of aspects that were out of date. My goal was to integrate technology into the system, beginning with going paperless and digitalizing all of the sheet music, dance choreography, miscellaneous forms, etc. through automatizing tablets for the kids to use in rehearsal and creating a brand new website with the production information, ensuring an
easily accessible space for all of the moving pieces at home.
We began the season by creating a cloud drive shared with all active members, however, we quickly learned with the amount of content parents receive through email, things were quickly getting lost or overlooked. With parents constantly reaching out for another invitation to view files their children were asking for, we realized we needed to create a simple centralized place for the parents, or children themselves, to access.
Previously, the website was solely used as a form of marketing; posting information about our programs and performances, mainly only public-facing information. But we thought we could do more than that.

The previous website for HYC, when the program was named Island Choral Experience (ICE).
Instead of constantly sending out information to over a hundred families, when it may not be of concern in the moment, we wanted to make a place for families to receive it when they need it. Rather than having to remember each link shared with them, and opening each invitation before they expire, they could log onto our Families page on their own schedules. Search through the submenus for exactly what they are looking for.

As the site developed, and with the positive feedback, we wanted to continue integrating the needs of our current members into the site. Beginning by funneling the various payment methods (web check, PayPal invoicing, credit card, etc.) into a simple checkout on the site. The enrollment deposits, merchandise fundraisers, performance gifts, and recordings are now registered and paid for entirely on the site. Alleviating parents from having to move across different forms and payment methods, and our Executive director from having to scour through the forms and confirm where and whether payments were received.

Centralizing information to one site, not only aided the staff in keeping track of all the moving pieces but also made it simple for students and parents to access all assets at any time. Since we have updated the site, the website has had over 10x increase in traffic.
